Document Shredding Checklist
10 Point Document Shredding Checklist
When choosing a Paper Shredding and Non-Paper Destruction company, you need peace of mind that you are dealing with a reputable and trustworthy organization.
The safety and security of your company, staff, and client information is paramount. Your supplier should be able to answer YES to each of the following questions...
1. Are they NAID certified? - The National Association of Information Destruction (NAID) certified members provide the highest quality service and use only the latest industry developments and technologies. NAID is the only trade association that requires its certified members to be independently inspected to the strictest codes of conduct. Certified NAID members hold themselves to a HIGHER STANDARD!
2. Do they Shred On-Site or OFF-SITE? - The best way to ensure your confidential documents will be destroyed is to use a company that shreds On-Site. Shredding at your location guarantees that all of your materials will be destroyed immediately, leaving no chance of them falling into the wrong hands.
3. Can they provide tamper proof consoles and carts? - Identity theft is often carried out by someone who knows your business from the inside. Your document destruction supplier should be able to provide you with tamper proof consoles and carts that can only be accessed by key.
4. Can you track the destruction of confidential documents? - After each On-Site collection your supplier should issue a Certificate of Destruction giving you an audit trail of you destroyed documents.
5. Will your documentation be destroyed beyond recognition? - Some shredders do not always shred paper to an illegible level. Make sure your supplier has the latest shredding equipment to completely destroy your documents. They should be able to show you an example of what a shredded bale looks like.
6. Has the staff been security-screened? - Shredding company employees should be subject to criminal background checks, random drug screenings, and work history background checks.
7. Are they insured and/or bonded? - Do they have General Liability Insurance, Professional Liability (Errors & Omissions) Insurance, and are they Bonded?
8. Are they committed to training and development? - A shredding company should continuously train their employees to be up-to-date with the very latest industry developments and look for ways to improve service at every turn.
9. Are they easy to deal with? - Your shredding supplier should be your trusted partner — after all they are handling your companies most confidential information. Have you spoken to just the salesperson? Who will be dealing directly with your company? Will you be able to reach them for emergencies? Make sure all staff members (especially drivers) are committed to providing courteous, friendly and reliable service at all times.
10. Do they recycle their shredded materials? - A good measure of a sound business partner is the level to which they are environmentally conscious. Does your supplier recycle or dump their destroyed materials?
